Refund, Cancellation & Change Policy

A plain-language summary of our tuition refund, cancellation, postponement and change terms. The full, binding Terms & Conditions are presented and agreed during application.

Effective July 2026

Registration fee

The registration fee (RM 500) confirms your application and is non-refundable under all circumstances. It is separate from tuition.

If you re-enrol within 12 months of your previous programme's end date, the registration fee for the new enrolment is waived — including when a period of study is booked as two separate enrolments. This waives the new fee; it is not a refund of one already paid.

Tuition refund schedule

Refunds are calculated from the date of your written cancellation request (counted back from the start date, request day included). The percentage applies to tuition only.

  • 28 or more days before start — 100% of tuition
  • 15–27 days before start — 70% of tuition
  • 8–14 days before start — 50% of tuition
  • Within 7 days of start, or after commencement — non-refundable

The refund percentage applies to tuition only. The registration fee, materials, re-test fee, student ID re-issue and on-site add-ons (lunch, shuttle) are excluded.

Long courses — refund after start

For courses of 12 weeks or more, a written withdrawal after classes begin is refunded at 50% of the tuition for the remaining, not-yet-started weeks. Shorter courses and Junior Camp are non-refundable after commencement.

Changing the start date, deferring, or changing course (before start)

Before classes begin you may change or defer the start date, change the course type, or shorten the duration. A new start date within 8 weeks of the current one is a “change”; anything beyond that is a “deferral”, up to 12 months after the current start date. The first change or deferral carries no administration fee; from the next one the fees below apply by timing:

  • 28 or more days before start — RM 250
  • 7–27 days before start — RM 400
  • Within 6 days of start — not permitted

Changes and deferrals are approved at most 2 times in total. If you enrolled at a discounted rate, the standard (non-discounted) rate applies when you change or defer. Any tuition refunded for a reduction follows the refund schedule above. Shortening the enrolment (reducing the number of weeks) may only be requested 28 or more days before commencement.

Deferral

  • · Before the start date (but not within 6 days of it), you may defer your course by up to 12 months from the current start date.
  • · The first change or deferral carries no administration fee; after that the change-fee table above applies to deferrals too.
  • · You must resume within 12 months or the enrolment and paid tuition are forfeited. If tuition has risen you pay the difference; discounted enrolments are re-priced at the standard rate when deferred.

After commencement — session break

  • · Once classes have started the start date can no longer be changed or deferred. Instead, students enrolled for 8 weeks or more may apply for a session break.
  • · Up to 2 week(s) once per 8 weeks of study — apply at least 14 days before the break, with attendance of 85% or more.
  • · Weeks taken as a break are not forfeited: they are carried over and your finishing date moves back accordingly. No refund and no separate fee apply.
  • · You must resume within 12 months of the original finishing date. Accommodation, shuttle and meals are not extended automatically.
  • · A course change after commencement is at the academy's discretion, applies to the remaining weeks only, and carries an administration fee of RM 250.

When a class does not take place

If a scheduled class is not delivered for reasons attributable to the Academy, we provide a make-up class of equivalent value; where that is not practicable, the tuition for that class is refunded. Closure on Malaysian public holidays and suspension due to force majeure are covered separately by Articles 8 and 12. Absence for personal reasons, including illness, is not eligible for a make-up class or refund.

Campus selection and transfer

MEC operates an EduCity Campus and a Forest City Campus; you may apply to either campus at enrolment.

  • · To transfer to the other campus after enrolment, a campus transfer fee of RM 500 applies.
  • · Transfers are subject to capacity at the receiving campus and to Academy approval, and take effect from the first Monday following approval.
  • · Where a campus-limited discount or promotion applies, fees may be recalculated according to the conditions of the receiving campus.

Accommodation

Accommodation is optional — you are free to arrange your own. The academy only relays bookings and payments for your convenience; operation and management rest entirely with the professional operators, so the academy accepts no liability for issues or losses arising from accommodation quality, management or operation.

Confirmation deposit

The accommodation confirmation deposit is RM 1,500 where MEC bills the stay (Standard Residence · Carnelian Tower) and RM 3,000 for the hotel-operated residences (Fraser Place · Dao by Dorsett). It covers booking-confirmation administration and no-show protection. Cancel within 24 hours of paying it and it is refunded in full; after those 24 hours it is non-refundable regardless of timing.

Cancellation before check-in

  • 30+ days before check-in — 100% refund excluding the confirmation deposit
  • 29–15 days before check-in — 70% refund excluding the confirmation deposit
  • Within 14 days — no refund

Shortening after check-in

  • · Bookings of 30 nights or fewer are non-refundable once you have checked in.
  • · For bookings over 30 nights, we charge the nights already stayed plus 4 weeks (28 nights) from the written-notice date and refund the remainder. If fewer than 4 weeks remain, no refund is made.
  • · Verbal or messenger notice is not accepted — calculations use the receipt date of the official written form. If a long-stay discounted booking is shortened below its minimum stay, the stay is re-priced at the standard rate and the difference is deducted from the refund.

Fraser Place · Dao by Dorsett — direct-transfer residences

For these two, the balance is paid directly into the hotel's Malaysian bank account at least 30 days before check-in (international transfer or a remittance service such as Sentbe). Bank details are provided individually when the booking is confirmed.

  • · Cancelling before the transfer (earlier than 30 days before check-in) — the 'before check-in' schedule above applies as normal.
  • · Cancelling after the transfer — refunded in full if you cancel within 24 hours of the transfer; after those 24 hours there is no refund. The money went to the hotel rather than the academy, so beyond that window the academy cannot return it.
  • · The RM 3,000 confirmed booking deposit is refunded in full only if you cancel within 24 hours of paying it; after that it is non-refundable in every case above, regardless of timing.

Standard check-out is 12:00. Late check-out until 18:00 incurs 50% of one night; after 18:00, 100%.

The security deposit is paid on site at check-in and returned at check-out if there is no damage. Locally paid taxes such as tourism tax are non-refundable. Anything not covered here follows the accommodation operator's rules, and hotel-operated residences (Fraser Place · Dao by Dorsett) may apply their own cancellation and refund terms with priority.
